Who we are
Web Essence is a digital agency based at 6185 Boulevard Taschereau, Brossard, Quebec, J4Z 1A6, Canada. We operate the website webessence.ca and the services offered on it.
This policy explains what personal information we collect, why, who we share it with, and how you stay in control of it. It follows Quebec’s Act 25 and Canada’s PIPEDA.
Person responsible for the protection of personal information: Sari Cheri, info@webessence.ca, 514-466-2555.
What we collect
When you fill out our contact form, you voluntarily provide us with the following information:
- Your full name
- Your company name
- Your email address
- Your phone number
- The service you’re looking for and your estimated budget
- Your desired launch timeline
- The status of your domain and hosting
- A description of your project
- Your preferred contact method
What your browser transmits
At the same time, your browser automatically transmits technical data: IP address, device and browser type, pages viewed, time spent on the site, and where the click came from (search engine, ad, or direct link).
This data is used to understand how the site is used. It is never linked to your identity unless you have written to us.
Why we use it
First, to respond to you: to prepare a recommendation or quote and follow up on our conversation. Without this information, we simply can’t get back to you.
Second, to improve the site and measure the effectiveness of our advertising campaigns, so we don’t keep investing in what isn’t working.
We make no automated decisions about you, and we do not build advertising profiles for resale.
Analytics and advertising
Our site uses Google Analytics 4 to understand traffic, along with Google Ads conversion tracking to know which ads actually lead to an inquiry.
In practice: when your form is submitted successfully, a signal is sent to Google indicating that an inquiry took place. This signal never contains the content of your message.
Enhanced conversions: exactly what Google receives
We have activated Google Ads’ “enhanced conversions” feature. Before anything is sent, your email address and phone number are converted in your browser into an irreversible fingerprint (SHA-256 hash). It’s this fingerprint, not your readable contact details, that is sent to Google to match your inquiry to the corresponding ad click.
Google cannot reconstruct your email or phone number from this fingerprint, and this data is used only to measure our campaigns. You can opt out at any time by writing to us, or by blocking advertising cookies in your browser.
Cookies
Essential cookies keep the site running and cannot be disabled. The analytics and advertising cookies, set by Google, are the ones described in section 05.
On your first visit, you can accept all, decline all, or separately customize analytics and marketing. The “Manage cookies” link at the bottom of every page lets you change this choice at any time. The site remains fully functional without these optional cookies.
Who we share it with
We do not sell or rent your personal information. Ever. We share it only with the providers necessary to operate the site:
- Google LLC, for analytics and advertising
- Hostinger, for website hosting and email delivery
- Competent authorities, only if required by law
Retention and transfers
An inquiry that doesn’t lead to an engagement is kept for 24 months after our last exchange, then deleted. A client’s information is kept for the duration of the business relationship, then for 7 years to meet our tax and accounting obligations.
Our providers may process and store data outside Quebec, including in the United States. We have assessed that this processing benefits from adequate protection, governed by their contractual commitments.
How we protect it
The site is served exclusively over HTTPS. Access to inquiries we receive is restricted to the people who need to respond to them and is protected by authentication.
Should a privacy incident presenting a risk of serious harm occur, we would notify you, as well as Quebec’s Commission d’accès à l’information, as required by law.
Your rights
You can exercise the following rights at any time, free of charge, by writing to info@webessence.ca:
- Access the information we hold about you
- Have it corrected if inaccurate
- Withdraw your consent
- Request its deletion
- Receive your information in a structured format
- File a complaint with the Commission d’accès à l’information
Changes to this policy
Any changes will be posted on this page with a revised update date. Significant changes will be brought to your attention the next time we’re in touch with you.
